Kre8ive is looking for a responsible and energetic person to serve as Administration Assistant to the board in a part time capacity.


This is a great opportunity to help a local nonprofit fulfill its mission by scheduling building rentals, purchasing supplies for the building, dealing with advertising and necessary copies, checking messages and returning phone calls, and keeping the website and social media updated. Other responsibilities are or may be included.

Job title -Administrative Assistant

Reports to Kre8ive Board President & Executive Board

 

 

Summary of Position:

 

It is the responsibility of the Administrative Assistant to oversee and handle the general daily office duties.  This position is expected to update the Kre8ive board on any changes or additions to the accounts (phone, internet, website).  **Ideally, this position should be able to keep track of what and when board ‘items’ are to be completed and present to the board at each meeting (either in person or by an Administrative Assistant report) what needs to be accomplished over the following month.

 

Duties and Responsibilities

 

  • Check the PO Box at least once a week

  • Scheduling of building rentals, general contact for renters and board ‘supervisors’

  • Organizing board members to ‘supervise’ rentals when you are unable to cover the event.

  • Organizing and making sure there are contracts and check sheets available for rentals.

  • Purchasing building supplies for office use and other general supplies (paper towels, etc) — overseeing general building business and ‘issues.’

  • Ordering/purchasing supplies/items needed for advertisement, Kre8ive team, or board when requested.

  • Gathering monies collected from Ed classes and concessions (with written records) and submitting to the Treasurer.

  • Dealing with/arranging internet/phone services.

  • Checking message machine and responding to phone calls.  This is to be done daily.  All phone calls should be returned within 24-hours.

  • Checking/replying to e-mails sent or directing to appropriate contact.  This should also be done daily.

  • Prepping flyers to advertise events when needed:  Ed department, auditions flyers for schools, audition announcements, etc.

  • Prepping paperwork when needed for auditions, order forms, etc.

  • Creating invoices and sending to appropriate contacts.

  • Filing/copying incoming papers/documents/keeping the Kre8ive office neat, orderly & organized.

  • Arranging printing with Fast Print when needed.

  • Keeping up with Facebook - announcements when needed, replying to questions or directing to the appropriate contact.  This should be done daily.

  • Updating website when needed.

  • Meeting with, or scheduling a board member when needed, for service appointments at building or for ‘rental viewings.’

  • Sending out thank you notes for donations.

  • Updating the Kre8ive board each month via Administrative Assistant Report

Additional Qualities / Wanted Skills

  • Good at Marketing / Advertisement

  • Basic understanding of Theater / The process of a theatrical production
